Executive Roles

Executive President

Function

The Executive President is the general manager and chief executive officer of the organization and has, subject to the control of NANMMA By-law, general supervision, direction, and control of the business, activities, and officers (other than the chair of the board) of the organization. The President has the general powers and duties of management usually vested in the office of president and general manager of an organization and such other powers and duties as may be prescribed by the Executive Board of Directors and NTC.

Responsibilities

Among other things, the President shall be responsible for:

  • Ensuring the organization’s activities are compliant and in furtherance of its mission
  • Leading, managing, and developing the organization’s employees, volunteers, and organizational culture
  • Chair meetings of the NBD.
  • Call special meetings if necessary.
  • Working with the development staff and Chair of the Board in cultivating and soliciting major foundation grants and individual gifts
  • Developing and maintaining beneficial relationships with donors, funders, supporters, collaborators, allies, vendors, and other stakeholders
  • Ensuring effective external communications about the organization and its mission, priorities, importance, programs, and activities
  • Championing the organization and advocating its mission to internal and external stakeholders
  • Keeping informed and the organization’s leadership informed of significant developments and changes in the internal and external environment
  • Leading the organization’s planning processes
  • Ensuring prescribed executive compliance (including all reports and its requirements) and sound risk management practices

Executive Vice President

Function

The Executive Vice President has the power of Executive President to stand in for the Executive President if he/she is unavailable or in the event of becoming ineligible.

Responsibilities

  • Attend board meetings.
  • Serve on the board.
  • Carry out special assignments as requested by the board chair.
  • Understand the responsibilities of the board chair and be able to perform these duties in the chair’s absence.

Executive Secretary

Function

The Secretary’s responsibility and role in the Executive Board of Directors is to be the guardian of the process of meetings.

Responsibilities

  • The Executive Secretary will be the person who makes the arrangements for all the periodical meetings, including General Body Meetings, as prescribed and maintains formal records of the group’s process and decisions termed as the minutes of each meeting.
  • The Executive Secretary is to support the board in ensuring the smooth functioning of the organization’s operations.
  • The Executive Secretary is responsible to ensure meetings are effectively organized and minutes are recorded and reported as prescribed.
  • The Executive Secretary of the corporation is an active conduit for communication between the board, management, and members (if any), by giving proper notice of any meetings and timely distribution of materials such as agendas and meeting minutes.

Executive Joint Secretary

Function

The Executive Joint secretary has the power of Executive Secretary to stand in for the Executive secretary if he/she is unavailable or in the event of becoming ineligible.

Responsibilities

  • Attend board meetings.
  • Serve on the board.
  • Carry out special assignments as requested by the board.
  • Understand the responsibilities of the board secretary and be able to perform these duties in the event of becoming ineligible.

Executive Treasurer

Function

The Executive Treasurer may manage or oversee the management of the financial affairs of the organization, often including such basic tasks as banking transactions, reconciling bank statements, and managing cash flow.

Responsibilities

  • The Executive Treasurer shall plan, forecast and prepare all the income sources are pursued by a NANMMA to meet its mission, the organization should carefully consider the income source’s impact on the population served, its demographics, and overall mission alignment. The organization should also assess these sources of income for feasibility and any associated risk.
  • The Executive Treasurer will be responsible for preparing or facilitating the preparation of an annual budget, as well as regular monitoring and comparing the actual revenues and expenses incurred against such a budget.
  • The Executive Treasurer shall do the development of a budget that supports the organization’s goals and drives. This decision-making is an important part of ensuring the organization’s success in effectuating its mission. The budget should be reviewed and approved by the Executive Board of Directors and later by from NTC. The budget is formally approved only after the approval by both bodies – NBD and NTC.
  • The Executive Treasurer should be prepared and is responsible to explain and justify the document through a collective effort.
  • The Executive Treasurer should have thorough knowledge and understanding of the organization’s financial reports and important financial ratios.
  • The Executive Treasurer should keep the board apprised of key financial events, trends, and concerns, and assessments of the organization’s fiscal health.

Ultimately, while financial management is the primary focus of the Treasurer, the entire board shares the responsibility of financial oversight and accountability.

Executive Joint Treasurer

Function

The Executive Joint treasurer has the power of Executive Treasurer to stand in for the Executive Treasurer if he/she is unavailable or in the event of becoming ineligible.

Responsibilities

  • Attend board meetings.
  • Serve on the board.
  • Carry out special assignments as requested by the board.
  • Understand the responsibilities of the board treasurer and be able to perform these duties in the event of becoming ineligible.

Executive Director – Programs & Projects.

Function

Develops and implements a non-profit organization’s programs.

Responsibilities

  • Assesses needs and ensures that program objectives are met.
  • Coordinates activities of program committees and/or other groups to plan procedures.
    Organizes and oversees events.
  • Creates functional strategies and specific objectives for the sub-function and develops policies/procedures to support the functional infrastructure.
  • Support Executive Treasurer in budgeting and finance management for the programs and projects including charity and donations.

Executive Director – Media & Communications

Function

The Executive Director – Media & Communications will manage, control and guide the strategy for all communications, website, social media and public relations messages and collateral to consistently articulate NANMMA’s mission. This NANMMA officer will be the primary source, disseminator, and conduit of information within this diverse organization and constituent base. The officer needs to make sure that any and all communication shall be to the benefit of NANMMA and not for the self-aggrandizement of any individual. The person will work closely with a senior peer group within the organization as the communications partner on a variety of strategic initiatives.

Responsibilities

  • Develop, implement, and evaluate the annual communications plan across the organization’s discreet audiences in collaboration with the NANMMA team and constituents
  • Lead the generation of online content that engages audience segments and leads to measurable action. Decide who, where, and when to disseminate
  • Put communications vehicles in place to create momentum and awareness as well as to test the effectiveness of communications activities
  • Manage the development, distribution, and maintenance of all print and electronic collateral including, but not limited to, newsletters, brochures, and NANMMA’s website
  • Mentor and lead a team member responsible for NANMMA’s website administration and coordination
  • Coordinate webpage maintenance—ensure that new and consistent information (article links, stories, and events) is posted regularly
  • Track and measure the level of engagement within the network over time
  • Manage the development, distribution, and maintenance of all print and electronic collateral including, but not limited to, newsletters, brochures, annual report, e-newsletters, and NANMMA’s website
  • Coordinate and organize annual meetings that engage the network’s discreet audiences
    Manage all media contacts

Executive Director – Assets & Memberships

Function

The Executive Director – Assets & Memberships will establish relationships with the local Malayalee Muslim groups and associations in the country in order to recruit new members by sharing the mission of the organization and promoting the organization’s mission and vision.

Responsibilities

  • Provide feedback and suggested improvements to the board
  • Develope and coordinate annual membership and targeted campaigns nationally by working closely with NRD.
  • Manage and maintain a multifaceted prospect pipeline and verbalize the appropriate value proposition for each.
  • Communicate full advantages of membership, services, and programs to prospective members
  • Assets Management and membership drives and related activities must be maintained as prescribed.
  • Increase membership and contracted services with school districts and educational partners.
  • Increasing revenue to the organization is a primary component of this position.
  • Provide regular reports on membership development activities and quantifying results to the board.
